The City of Elizabethtown, the county seat of Hardin County, is a rapidly growing community with a population of 31,394 (2020 Census). The Historic State Theater was constructed in 1942 and is a landmark in our historic downtown district. The full complex includes the historic theater, the Gallery (meeting space with catering prep kitchen) and Fraize Hall (meeting space). The theater has seating for 652 patrons and the 3,660 square foot Gallery space is used for multiple purposes. The Historic State Theater has experienced tremendous utilization in the last few years. Last year’s activities included: 22 concerts and live performances: 55 movies and 82 rentals for weddings, corporate meetings and other public events. The facility is also utilized as part of the city’s downtown events for Cruisin the Heartland, the Heartland and Christmas parades and Heartland Harvest Festival.
Scope of Project
The City of Elizabethtown would like to receive proposals from interested parties for the naming rights for the Gallery at the Historic State Theater complex. No other naming rights will be offered for other spaces within the Historic State Theater complex.
Objectives
The City would like to award the naming rights to the successful entity by July 1, 2025. The term of the naming rights contract will be for five (5) years. The rights will include:
1. Signs located on the exterior of the complex;
2. Interior wall sign in the Gallery;
3. Name of the successful entity displayed on marketing materials, website and social media;
4. Utilization of the Gallery for one event in the calendar year. The scheduling will be subject to availability.
Proposal Submission
1. Proposer’s Name
2. Proposer’s Contact Information and preferred method of communication
3. Legal Formation of Proposer (e.g., sole proprietor, partnership, corporation)
4. Description of Proposer’s company including, but not limited to:
• Date Company was formed
• Principal location of company
• Size of the company (locations and employees)
• Types of services offered
5. Proposer’s other activities in the Elizabethtown area
6. Statement of 500 words or less on why the Proposer wishes to be associated with the Historic State Theater complex
7. Evidence of legal authority to conduct business in the City of Elizabethtown
8. Proposed renumeration for naming rights
Deadline to submit the proposal
All proposals must be received by the City Clerk at City Hall, 200 W. Dixie Ave. Elizabethtown KY 42701 before close of business on June 12, 2025.
Disclaimer
The City of Elizabethtown will award the contract to the entity which is determined to provide the proposal that best supports the mission of the Historic State Theater but reserves the right to refuse any or all proposals once submitted. All proposals shall be submitted by the deadline.
Contract
The successful entity will be required to execute an agreement as prepared by the City for the contract period. Modifications by the successful entity are acceptable to the City when mutually agreed upon. Renumeration shall be made on an annual basis, due by September 1 of each year of the agreement.
NOTE: City will retain ownership of any information that comes from any of the
proposals.
